At Kuorum we have been helping associations like WindEurope to professionalize the organization of their assemblies with the help of technology for more than ten years. At first it may seem that the main problem is the lack of resources, but if the right processes are applied, digitalization makes it possible to organize large events with very small teams - even with just one person.
Our client had already experienced the difficulties of not working with the right technology, so he was very clear about the points to improve. Kuorum's census management system makes it possible to distinguish between individuals, legal entities, and principal and alternate proxies. This classification of profiles is very useful for business associations, simplifying the call models and allowing to control the confirmation of attendance without exchanges of emails with attachments or complicated Excel files. In addition, Kuorum's proxy voting system with voting instruction allows to establish a period in which members can delegate their vote autonomously, comfortably and with all the legal guarantees in a few clicks. In this way, the organizers only have to access the form from time to time to check the capacity or send a reminder a few days before the event.

WindEurope was aware of this and decided to have the support of the Kuorum team on site in Brussels. Our support staff arrived hours earlier to train the three people who would be in charge of welcoming the delegates. Thanks to Kuorum's access control technology, queues were avoided and the attendees were able to enjoy a welcome coffee chatting with their colleagues before entering the room.
Instant and auditable results
The election of board members is a crucial process that should not generate suspicion. Especially if it takes place in the context of an assembly, where electronic voting takes no more than a few seconds. Kuorum's secret and traceable ballot technology combined with real-time results display functionality generates a lot of confidence, as voters can see the number of recorded votes increase as they record their own from their cell phone. The Kuorum team carried emergency devices in case any assembly members ran out of battery power but they were not needed.
Once all the votes were recorded, the results were presented on screen to the on-site and remote attendees simultaneously.
