At Kuorum we have spent over ten years helping associations like WindEurope professionalize the organization of their assemblies through technology. At first it may seem that the main problem is the lack of resources, but with the right processes in place, digitalization makes it possible to organize large-scale events with very small teams—even a single person.
Our client already experienced the difficulties of inadequate tools, so they clearly understood the areas that needed improvement. Kuorum’s voter management system allows differentiation between individual members, legal entities, and primary and the delegation proxies. This classification of profiles is particularly useful for trade associations as it simplifies the notice and invitation process and enables attendance tracking without email exchanges and attachments or complicated Excel files. In addition, Kuorum's proxy voting system, with voting instruction, allows the user to establish a period in which members can delegate their vote autonomously, comfortably and with all legal guarantees in just a few clicks. In this way, the organizers simply access the form from time to time to check the participation numbers or send a reminder a few days before the event.

If the convocation and delegation of vote phase has gone well, we are halfway there. But it is in the execution of the election – both in-person and online – that the second challenge really unfolds. WindEurope was aware of this and decided to rely on Kuorum’s team on-site in Brussels. Our support staff arrived hours in advance to train the three people responsible for welcoming the attendees. Thanks to Kuorum's access control technology, queues were avoided and the attendees were able to enjoy a welcome coffee chatting with their colleagues before entering the meeting the room.
Instant and auditable results
The election of Management Committee members is a crucial process that members should be confident and comfortable with. Especially if it takes place in the context of a General Assembly, where electronic voting takes no more than a few seconds. Kuorum's secret and traceable voting technology combined with real-time results display generates a lot of confidence, as voters can see the number of recorded votes increase as they record their own from their cell phone, tablet or computer. The Kuorum team carried emergency devices in case any member experiences issues with their devices.
Once all the votes were recorded, the results were displayed simultaneously on screens for both in-person and online attendees.
