How to Use AI to Draft Meeting Minutes

Preparing meeting minutes can be a time-consuming task that, let's be honest, nobody has time for. Fortunately, Artificial Intelligence can help streamline the process. When used correctly, AI can turn rough notes or audio transcripts into well-structured draft minutes in just a few minutes. In this article, we'll explain how to incorporate AI into your post-assembly workflow while ensuring that your minutes remain legally valid.

AI and Meeting Minutes: From Transcription to Draft

Understanding what AI can and cannot do is essential when it comes to managing meeting documentation:

  • What AI CAN do: Process and organize large amounts of information, summarize contributions, and refine the wording to give the minutes a more legal or corporate tone…
  • What AI CANNOT do: Replace the role of the Secretary. The legal responsibility for reviewing and verifying the content during and after the meeting remains entirely human.

AI does not produce the final version of the minutes, but it can provide a high-quality first draft that the Secretary can review and make final corrections to.

Step-by-Step: Writing Guide

  1. Protect Personal Data

Before uploading the transcript to an AI tool, make sure its use complies with data protection regulations (GDPR). If you’re using a cloud-based AI tool, replace sensitive information with generic identifiers (e.g., Member 1, Representative A).

  1. Organize the information before you begin

AI needs a clear context to provide an accurate result. If you have already followed the steps in your pre-assembly checklist, you will only need to gather two things:

  • The Agenda.
  • The notes taken by the Secretary during the meeting or the meeting transcript.
  1. Write the Instructions for the AI

The quality of the output depends largely on how you instruct the AI. To minimize the risk of inaccurate or fabricated information, provide a clear prompt that defines its role, outlines the structure you need, and includes all the key information it should consider. Here’s an example you can use:

"Act as a Secretary General with expertise in corporate and commercial law. Based on the attached notes, draft the formal minutes of the meeting. The document must include:

  1. Formal heading (date, time, location, and type of meeting).
  2. Verification of the list of attendees and formation of the meeting panel.
  3. Point-by-point development according to the Agenda.
  4. Clear description of the decisions adopted and the voting results (votes in favor, against, and abstentions).

Use formal, neutral, legal-administrative language and write in the third person."

What you absolutely need to review before signing

Remember that even if the AI-generated draft seems perfect, it should always be manually audited. The Secretary and the President must review these four details before making the document official:

  • Attendance and voter roll: Confirm the final list of attendees.
  • Vote couting: Check that the number of votes in favor, against, and abstentions add up correctly.
  • Explicit Requests: Ensure that any comments or points that a member specifically requested to be recorded are included.
  • Formal signature: The signatures of the Chair and the Secretary are the only element that gives the minutes legal validity, a fundamental requirement to ensure that, for example, online meetings are legally valid. The signature can be handwritten or made using a digital certificate.

Operational Efficiency with Legal Accuracy

Using AI to draft meeting minutes is not about transferring legal responsibility, but about saving time and improving efficiency. By combining the speed of AI tools with human oversight, the secretary can streamline the process without compromising legal standards.
